What data we collect

Through the contact form and the forms in our Facebook/Instagram ads: name, company, VAT ID, email, phone, type of business, location and the message you send.

From public sources: company data from the Romanian tax authority (ANAF: registration, VAT, financial statements), based on the VAT ID.

To protect the form: an irreversible fingerprint of your IP address (not the IP address itself).

Automatically, via cookies and similar technologies: browsing data and usage statistics (see the Cookie policy).

Purpose and legal basis

We use form data to answer your B2B partnership request. After you submit it, you automatically receive a WhatsApp message (or email) with a few short questions about your business; you do not have to reply. The basis is your request and our legitimate interest in developing business relationships.

Based on the ANAF data and your answers we calculate an internal score that helps us decide the order in which we contact requests. The score has no legal effect and every decision is made by a person on our team.

We send you marketing emails (new products, online sales) only if you separately tick the consent for them. You can unsubscribe at any time using the link in every email. We may write to our customers about products similar to those they bought, and they can refuse at any time.

Storage and security

Data submitted through the form is stored securely with our infrastructure provider and accessed only by our sales team.

We keep the data of a request for as long as it is needed to answer you and for our business relationship with you. Customer data is kept for the duration of the partnership and as long as the law requires (for example for accounting documents). You can ask us at any time to correct or delete your data by writing to vanzari@icebergdistri.com.

Data sharing

We do not sell or rent your data. It is processed on our behalf only by the providers we need to operate: Supabase (database, servers in the EU, Frankfurt), Vercel (website hosting), Meta Platforms (Facebook/Instagram forms and WhatsApp Business), YCloud (sending WhatsApp messages), Resend (sending emails), FGO (issuing proformas and invoices), Microsoft (our mailbox) and, only with your cookie consent, Google (Google Analytics) and Meta (Pixel).

We check company data in public sources: ANAF and, to find the VAT ID from the company name, the public ONRC register via demoanaf.ro (we send only the company name).

Some of these providers may also process data outside the European Economic Area (for example in the USA). In those cases the transfer relies on the safeguards provided by the GDPR: the EU–US adequacy decision (Data Privacy Framework), where the provider is certified, or the European Commission's standard contractual clauses.

Your rights (GDPR)

You have the right to access, rectify, erase, restrict, object to and port your data, as well as to withdraw your consent.

You can exercise these rights by writing to vanzari@icebergdistri.com. You also have the right to lodge a complaint with the supervisory authority.
